TOWN OF BEVERLY SHORES, INDIANA

INVITATION FOR BIDS FOR PURCHASE OF

TWO NEW 2010 FWD FORD ESCAPE

HYBRID VEHICLES, INCLUDING TRADE-INS

The Town of Beverly Shores, Indiana is inviting all interested and eligible vendors to submit sealed combined lump sum bids for the sale to the Town of two (2) NEW 2010 FWD Ford Escape Hybrid vehicles and the acceptance of two Town vehicles as trade-ins. The new vehicles must be equipped with at least all standard equipment which is more particularly identified in Exhibit A attached hereto and incorporated herein, PLUS a swiveling spotlight suitable for law enforcement activities installed on the left side of the vehicle and controllable from inside the vehicle to be installed at the bidder's expense. The Town's trade-in vehicles are a 2001 Ford Crown Victoria and a 2005 Chevrolet Impala.

Because it is a unit of government, the Town is exempt from paying taxes and all bids should exclude taxes. Each bidder must be licensed to do business in the State of Indiana. The base bid shall include the standard warranties provided by the Ford Motor Company for the new vehicles. Clear title to the vehicles must be provided to the Town upon delivery and acceptance of the vehicles by the Town. Delivery must occur within thirty (30) days of award of bid. Payment will be made by the Town within thirty (30) days of the latter of the Town's receipt of an appropriate invoice or delivery and acceptance of the vehicles by the Town.

The bidder shall use the attached Bid Form and all bids must be lump sum for both of the vehicles being timely delivered to the Beverly Shores Town Hall and shall include all freight, dealer prep, and any other charges. The combined lump sum bid must also be net the combined credit that the Town will be given for the Town's two (2) trade-in vehicles in their AS-IS condition. The trade-in vehicles are available for inspection at the Town Hall only upon scheduling an inspection with the Town Marshal, Richard Landis, or one of his designees. The attached Bid Form includes the request for the price of an extended warranty. The price for this additional option is for informational purposes. The determination as to which bid is the lowest will NOT include the price for the optional item.

Each bidder must be licensed to do business in the State of Indiana and this transaction will be governed by the laws of the State of Indiana.

Each bidder must submit an original and three (3) copies of its Bid. All bids shall be binding for thirty days after bid opening. All bids that are timely submitted will be opened, and the winning bid selected and awarded, by the Town Council. The bid will be awarded to the lowest responsible, responsive bidder. The Town reserves the right to reject all bids and to waive any formalities or inadvertent errors.

In order to be considered by the Town Council, a sealed bid must be delivered to the Town no later than the time at which the opening of the bids is called for by the Council's presiding officer at the meeting of the Town Council on November 16, 2009 which is scheduled to begin at 7:00 pm local time in the Town Hall located at 500 South Broadway, Beverly Shores, Indiana. Bids may be delivered to the Clerk-Treasurer's Office at the Town Hall prior to that time during its regular business hours of 9:00 am to 1:00 pm, local time, Monday through Friday, except holidays.

Bids may be submitted in person, by U.S. Mail, or by private carrier but the bidder is solely responsible for insuring that the bid's delivery is timely and any bid that is delivered late will not be considered, regardless of the cause for late delivery. Any Bid that is not timely delivered will be marked as received but will not be opened. The mailing address for the Beverly Shores Town Hall is P.O. Box 38; Beverly Shores, IN 46301-0038. All mail containing a bid must clearly state "Sealed Bid For New Vehicles" on the outside of the container in which it is delivered.
